A single-display setup forces you to choose at any given moment between seeing the document and seeing the people. It works in small rooms and in meetings where the content is the main focus.

A dual-display setup —one for content and one for participants— is significantly better for collaborative meetings, because it allows people in the room to maintain visual contact with remote participants while reviewing a document. It is the configuration most recommended by people who have equipped several rooms, and the additional cost is moderate.

When it comes to size, the determining factor is the distance of the furthest viewer. The most commonly used practical guideline is that the screen diagonal should be reasonably proportionate to that distance: the further away the last row is, the larger the display needs to be. A simple and reliable test is to show the real content that will be shared —a spreadsheet rather than a presentation with large text— and check that it can be read from the furthest seat.

In collaborative rooms, an interactive display may make sense, allowing users to annotate content and share those annotations with remote participants. This equipment provides real value in design and planning sessions and tends to be underused in rooms where documents are simply presented.

A screen installed too high forces people to look upwards throughout the meeting and, if the camera is integrated, leaves it at a downward angle. Why do acoustics affect the entire hybrid meeting?

Acoustics are the invisible component of a hybrid meeting setup and the one most often overlooked, with direct consequences for everything else.

A room with hard surfaces —glass, smooth partitions, an uncarpeted floor and a continuous ceiling— creates reverberation: sound bounces around and reaches the microphone several times with different delays. Wired connections in the main rooms. Wi-Fi works, but it is a shared medium and its performance varies with building occupancy. A wired network connection in the room eliminates the most common cause of video dropouts.

Sufficient symmetrical bandwidth. Video conferencing consumes both upload and download bandwidth, while many business connections are provisioned asymmetrically. It is important to check the actual upload speed, because that determines how others see you.

Traffic prioritisation. On heavily loaded networks, prioritising video conferencing traffic over downloads and synchronisation prevents quality degradation precisely when the room is being used.

In this situation, booking already equipped rooms by the hour is usually considerably more efficient and also avoids the risk of obsolescence in equipment that evolves quickly.

That is precisely the approach behind the meeting rooms in a business centre: installation already taken care of, maintenance included and availability by the hour, with different sizes depending on the specific meeting. For longer sessions or classroom-style formats, training rooms serve a different purpose with suitable equipment.

The middle-ground formula, which is the one used by many companies operating flexibly, is to equip one hybrid meeting room well for the team's everyday use and rely on external rooms for large meetings, client presentations and committee meetings, which are precisely the formats that require the most equipment and take place least often.
