Hello, business leaders, growing SMEs and bold entrepreneurs! Are you ready to demystify one of the most important tax developments of the coming years? If the word “fiscal” already gives you cold sweats, don’t worry! Today we are going to talk about Verifactu – but in a way that you find useful, understandable and, we promise, even a little fun.
Indeed, even the most arid topics can have their spark, especially when you discover that there are solutions that allow you to stay focused on what really matters: growing your business.
At Ibercenter, we know that your time is precious and that office management, technology and (of course) tax regulations can consume valuable resources. That’s why we’re passionate about providing you with a work environment that frees you from those worries. And today, as we delve into the Verifactu universe, you’ll see how our flexible workspaces are designed to be your best ally.
Verifactu: What the hell is it and why should I care?
Let’s start at the beginning. You’ve probably heard of the “Digital Kit“, the “Create and Grow” Law, or even the well-known “TicketBAI” system in the Basque Country. Well, Verifactu is the next step – the answer to the need to modernise and digitise the relations between companies and the Tax Agency.
Verifactu is the informal name (its official one is “Invoicing system that guarantees the integrity, conservation, accessibility, readability, traceability and inalterability of invoicing records”) for the system through which companies and self-employed professionals must send their invoicing records almost immediately to the Tax Agency. Its main goal is to ensure the traceability and inalterability of all commercial transactions. In other words, every time you issue an invoice, that information will travel directly and securely to the Treasury.
In plain terms: when a company issues an invoice, it is no longer enough for it to simply be “correct” for the customer; the system must guarantee that the invoice cannot be modified, that it is properly recorded, that it includes an identification code (for example a QR), and that the Tax Agency – AEAT can access or verify it if necessary.
Think of it as having a digital notary for every invoice you issue. The goal of this system is to close the door on irregular practices and ensure that all business transactions are declared transparently. Sounds like science fiction? Not at all! This is the reality that’s fast approaching– and it will affect the vast majority of businesses in Spain.
Why this change?
Digitalisation is a powerful tool, and public administrations are embracing it to be more efficient. With Verifactu, the Tax Agency pursues several key objectives:
- Combat tax fraud: Real-time access to invoicing records makes it extremely difficult to issue “off-the-books” invoices, hide income, or manipulate data.
- Modernize administration: Review and audit processes are accelerated, making tax management more agile and less bureaucratic (even if it might not seem that way at first).
- Level the playing field: The goal is for all taxpayers to follow the same rules, creating a fairer competitive environment for all businesses.
- Align with Europe: Spain is joining other European countries that already have similar e-invoicing and real-time reporting systems.
In short, Verifactu represents another step toward a more transparent and digital economy. And while every major change brings some resistance, the key lies in preparation and adaptation.
Entry into force of Verifactu: Mark your calendar!
This is where things get serious and it is crucial to pay attention, especially for corporate executives, or for growing multinational companies, arriving in Madrid who need to have everything under control from day one.
Although the Anti-Fraud Act was published in 2021, Verifactu’ s implementation followed a development and regulatory process. The key date to remember is January 1, 2026. From that point on, most taxpayers will be required to use invoicing software that meets Verifactu’ s technical requirements.
This means that there is no time to waste. Companies need to assess their current systems, determine whether they are compliant or require updates, and train their staff as necessary. It’s a process that demands careful planning and seamless execution to avoid sanctions.
Who is affected by Verifactu? Will I be on the list?
The short answer is probably yes. Verifactu will impact the vast majority of companies and self-employed professionals who issue invoices for the sale of goods or the provision of services. This includes:
- Self-employed and individual professionals: If you are a freelancer, consultant, designer, or similar, your invoices must comply with the system. Ana, our Creative Entrepreneur and Digital Nomad, this is for you!
- Small and medium-sized enterprises (SMEs): From the neighborhood store to the technology startup, all SMEs will need to adapt their invoicing systems.
- Large companies: Even if robust systems are already in place, large companies must ensure their invoicing programs comply with the new requirements for inalterability and secure transmission.
- Companies in the process of expansion or creation: If you are planning to set up a business or expand your company in Spain, your billing system must integrate this regulation from day one.
Exceptions (very few): At present, the only notable exceptions are those companies that are already under the Immediate Supply of Information (SII) regime — mainly large companies with a turnover exceeding €6 million — or those that have voluntarily opted for this system. For all other businesses, Verifactu will be the standard.
How does a Verifactu software work?
To comply with Verifactu, you’ll need invoicing software that’s capable of:
- Generate an unalterable record: Each invoice issued creates a record that cannot be modified. This is achieved using cryptographic techniques, such as chaining invoices (where each new invoice contains a “hash” or unique code of the previous one), ensuring full traceability.
- Send the registration to the Tax Agency: At the time of issuance —or shortly thereafter—the software must transmit this information to the Tax Agency.
- Issue a QR code or “VeriFactu ID”: Each invoice must include a QR code or unique identifier that allows the Tax Agency to verify its authenticity and registration. This also makes it easier for inspectors or even customers to check.
Most importantly, your billing system must be approved and certified. Not just any program will do; it will have to comply with the technical specifications published by the Tax Agency. This is where many companies will need the help of their software providers or specialized consultants.
The “Pain Points” that Verifactu can generate (and how Ibercenter solves them).
We understand that all of this may sound overwhelming. That is why, at Ibercenter, we have listened to your concerns and recognize that a regulation like Verifactu can create several “pain points”:
- Investment in software and hardware: Acquiring or upgrading Verifactu-compliant software can be a significant cost, particularly for SMBs and startups.
- Privacy and security concerns: Is my data secure? Is my invoice information confidential? The concern about computer security is real and valid.
- Management and maintenance of the technological infrastructure: Who ensures that everything runs smoothly, from updates to backups?
- Need for a professional and representative environment: Growing companies and corporate executives require a workspace where systems run seamlessly, and their professional image is maintained.
This is where Ibercenter steps in as your strategic partner.
Ibercenter and Verifactu: The perfect synergy for your peace of mind.
At Ibercenter, our business model is designed to offer you an “all-inclusive” service that allows you to focus on your core business, freeing you from the complexities of managing a traditional office. This aligns perfectly with the challenges posed by Verifactu.
1.Premium technological infrastructure and impeccable connectivity:
Our private offices and meeting rooms in Azca, Gran Vía and Velázquez are equipped with the latest technology, high-speed internet connectivity, and top-level security. This is crucial for Verifactu —a system that requires the almost instantaneous transmission of data to the Tax Agency cannot afford connection drops or insecure networks. Here are some clear examples:
- Imagine closing an important deal in one of our meeting rooms, generating the invoice instantly, and having the software send it to the Tax Agency without a single hiccup. No worries about the network or security issues — your focus remains on the business, not the infrastructure.
- If you’re coming to the capital for business, you need seamless operations from day one. When you land in Madrid, our fully equipped offices provide the solid technological foundation you need to integrate your Verifactu software effortlessly — with no need to invest in cabling, servers, or your own IT infrastructure.
2. Privacy and confidentiality in a high-level corporate environment
Verifactu handles sensitive data, which requires a workspace where information can be processed in complete privacy. Our private offices provide the discreet and professional environment that effective tax management demands. Here’s how it works:
- Your private office in Ibercenter guarantees the confidentiality required to handle sensitive tax information. No prying eyes, no security risks from shared network with strangers — it’s your space, your privacy.
- If your company manages highly confidential information, choosing Ibercenter, ensures an environment where data security is a top priority — both in your private office and in our executive meeting rooms.
3. Flexibility and scalability to adapt to change
Regulations change, and teams grow or shrink — flexibility is key. Our all-inclusive contracts allow you to adapt your workspace to your needs without being tied to long-term leases or large initial investments in furniture and technology. As a clear example:
- While Verifactu may seem like a distant from the digital nomad lifestyle, it’s a reality you can’t ignore. Our modern and flexible offices in Gran Vía, Azca, and Velázquez offer the perfect base to manage your invoicing professionally — with the option to book a private office by the hour or day, whenever you need it, and always with the guarantee of a reliable connection for your operations.
- If your business is experiencing rapid growth and you need more space for your billing or accounting team, Ibercenter can quickly scale your workspace to a larger office. And if you decide to outsource these services, your office will still be the perfect setting for meetings with your advisors.
4. Additional services that make a difference
We offer a range of services such as computer rentals, administrative support, and access to professional printing equipment. This means that if you need extra state-of-the-art hardware to run your Verifactu software, it’s readily available. Our support staff is also on hand to assist with any unexpected technical issues that may arise. While we’re not tax technicians, we make sure your work environment remains impeccable.
5.Strategic location in Madrid: Azca, Gran Vía and Velázquez.
They are not just addresses — they are nerve centres of business and transport in Madrid. Whether it’s for meetings with tax advisors and clients, or for the convenience and comfort of your team, accessibility is unbeatable.
- A location in Azca or Velázquez places you in the financial and business heart of Madrid, ideal for enhancing your corporate profile and hosting important meetings.

A few final tips before saying goodbye
- Audit your current software: Speak with your ERP or invoicing software provider. Are they already adapting to Verifactu? Will they provide an upgrade, or will you need a new system?
- Consult your tax advisor: Your advisor is your best ally for understanding the specific requirements that apply to your business and ensuring a smooth transition.
- Train your team: If the billing process changes, make sure your team is properly trained. A well-planned training program will help avoid mistakes and frustrations.
- Evaluate Your Work Environment: Does your current office provide the security, connectivity, and flexibility needed for this new fiscal era? If the answer is “no” or “I’m not sure,” it may be time to explore new options.
Conclusion: Turning a challenge into an advantage.
